This page explains what the Southern Splash and Ice Car Wash website collects for interest registrations and member ice accounts, and why.

Interest registrations

When you register interest, the form sends your name, email address, chosen interest, consent, and submission timestamp to the private registration system. This helps with opening and membership planning. The interest form collects no payment information, and no automated email confirmation is sent.

Member accounts

Creating a member account stores your email address, a salted hash of your password (never the password itself), and when the account was created. Signing in sets an essential session cookie that lasts up to 7 days. The server keeps only a hash of that session token, with its start and expiry times.

Payments

Card details are entered on Stripe's checkout and billing pages, not on this website, so this website does not receive or store your card number. When you start checkout, your email address and opaque account and plan references are sent to Stripe. To connect payments to your account, this website stores Stripe references (customer, checkout, subscription, invoice, and event identifiers), your subscription status and billing period, and any refund or dispute review flag.

Ice requests and machine service

Your account keeps your ice allowance, each request's time, status, and staff confirmation, any “I received my ice” statement you make, and an audit history of account, billing, and request actions. To dispense ice, the ice machine's vendor system receives a request note with opaque member and request references plus the item and quantity. That note does not include your name or email address.

Problem reports

When you report a problem, the form sends the problem type, your description, any optional contact details and request reference you enter, the page you sent it from, and a timestamp. If you are signed in, your member ID and email address are attached from your session. Reports are reviewed privately by the owner; no email or text message is sent, and a report does not change any request, allowance, or payment.

Who can see it

Approved owners and administrators can review member, payment, and ice request records after signing in to the private admin dashboard, to run the service and resolve billing or machine questions.

Abuse prevention

Request limits help protect the registration and sign-in forms. Raw IP addresses are not stored in registration records, and member sign-in limits use short-lived in-memory counters rather than member records. Admin sign-in uses an essential, short-lived session cookie; no password is stored in that cookie.

Your choices

If you want to update or remove your interest registration, or have a question about your member account, contact the person who shared this site with you. Requests are reviewed by the owner. Payment, request, and audit records may need to be kept to run the service and resolve billing or machine questions, and a formal retention schedule has not been published yet.

The public website is marked noindex for search engines, but it is not access-restricted. Please use the forms only for the information they request.
